Proximite Marketplace ("Proximite," "we," "us," or "our") operates a US-only B2B marketplace for the procurement of space-grade components, systems, and services. This Privacy Policy describes how we collect, use, disclose, and protect your information when you access or use our platform, including our website, applications, and related services (collectively, the "Platform").
By accessing or using the Platform, you acknowledge that you have read, understood, and agree to be bound by this Privacy Policy. If you do not agree, please do not use the Platform.
1. Information We Collect
Account Information
When you register for an account or apply as a verified supplier, we collect:
- Full legal name, job title, business email address, and phone number
- Company name, address, and EIN
Business Verification Data
To verify your organization, we may collect:
- Business registration details and authorized representative confirmation
- CAGE/DUNS codes and relevant certifications
RFQ Inquiry Data
In the course of using the Platform, we collect:
- Request for Quotation (RFQ) details, specifications, and attachments
- Supplier selection criteria and bid information
- Communication logs between buyers and suppliers
Usage & Analytics Data
We automatically collect information about your interactions with the Platform, including:
- IP address, browser type, device identifiers, and operating system
- Pages visited, features used, and time spent on the Platform
- Search queries, filter selections, and navigation paths
- Log data and error reports
2. How We Use Your Information
We use the information we collect for the following purposes:
- Operating, maintaining, and improving the Platform and its features
- Processing account registration, supplier verification, and business verification checks
- Facilitating RFQs, quotes, purchase orders, and procurement transactions
- Matching buyers with qualified, verified U.S. suppliers
- Verifying ITAR registration status and export control compliance
- Communicating with you regarding your account, transactions, and platform updates
- Providing customer support and resolving disputes
- Generating anonymized analytics and marketplace insights
- Detecting, preventing, and addressing fraud, security threats, and unauthorized access
- Complying with applicable laws, regulations, and legal obligations
3. Data Sharing & Disclosure
We do not sell your personal information. We may share your information in the following circumstances:
- Between Buyers and Suppliers: When you submit an RFQ or engage in a transaction, relevant business information is shared with the counterparty to facilitate procurement.
- Service Providers: We engage trusted third-party service providers (cloud hosting, identity verification, analytics) who process data on our behalf under strict contractual obligations.
- ITAR & Export Control Compliance: We may disclose information to the Directorate of Defense Trade Controls (DDTC), Bureau of Industry and Security (BIS), or other regulatory bodies as required under the International Traffic in Arms Regulations (ITAR) and Export Administration Regulations (EAR).
- Government Requests: We may disclose information in response to lawful requests from U.S. government agencies, including subpoenas, court orders, national security letters, or other legal processes. We will notify you of such requests where legally permitted.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction, subject to continued protection under this Privacy Policy.
- Protection of Rights: We may disclose information to protect the rights, property, or safety of Proximite, our users, or the public as required or permitted by law.
4. Data Security
We implement industry-leading security measures to protect your information:

- Security Safeguards: We implement reasonable administrative, technical, and organizational safeguards to protect your information.
- Access Controls: Role-based access controls (RBAC) and multi-factor authentication (MFA) are enforced for all administrative and sensitive data access.
- Monitoring: Continuous security monitoring, intrusion detection systems, and automated vulnerability scanning protect the Platform around the clock.
- Incident Response: We maintain a documented incident response plan and will notify affected users within 72 hours of confirming a data breach, in accordance with applicable law.
While we employ commercially reasonable safeguards, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security of your information.
5. Data Retention
We retain your information for as long as your account is active or as needed to provide you with our services. Specifically:
- Account Data: Retained for the duration of your active account and for 3 years following account closure, unless longer retention is required by law.
- Inquiry Records: Retained for a minimum of 7 years to comply with tax, financial reporting, and regulatory requirements.
- Business Verification Records: Retained for a minimum of 5 years following account closure or as required by applicable law.
- Usage Data: Retained in identifiable form for up to 24 months; anonymized data may be retained indefinitely for analytics purposes.
- Communications: Buyer-supplier messages are retained for 5 years to support dispute resolution and compliance audits.
6. Your Rights
Depending on your jurisdiction, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Request correction of inaccurate or incomplete information.
- Deletion: Request deletion of your personal information, subject to legal retention requirements (including ITAR record-keeping obligations).
- Portability: Request a machine-readable export of your personal data.
- Opt-Out: Opt out of non-essential marketing communications at any time via your account settings or by using the unsubscribe link in our emails.
- Restriction: Request that we restrict processing of your information in certain circumstances.

7. ITAR & Export Control Compliance
Proximite does not accept ITAR-controlled technical data, CUI, classified information, or export-controlled materials. Do not submit such information through the platform.
8. Cookies & Tracking
We use cookies and similar tracking technologies to enhance your experience on the Platform:
- Essential Cookies: Required for Platform functionality, authentication, and security. These cannot be disabled.
- Analytics Cookies: Help us understand how users interact with the Platform, including page views, session duration, and feature usage. We use privacy-focused analytics tools.
- Preference Cookies: Store your settings such as theme preference (light/dark mode), language, and display options.
We do not use third-party advertising cookies or engage in cross-site behavioral tracking. You can manage cookie preferences through your browser settings. Disabling essential cookies may impair Platform functionality.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make material changes, we will:
